Office Administrator

Inform3 are recruiting for an experienced and highly organised Office Administrator to join a busy contractor team, supporting the Buying and Procurement function.
The ideal candidate will have at least 3 years’ experience in a construction administration role, with a solid understanding of purchasing procedures, supplier coordination, and construction terminology.
Office Administrator Key Responsibilities:
- Provide administrative support to the buying and procurement team, including raising and tracking purchase orders.
- Liaise with site managers, suppliers, and subcontractors to ensure timely delivery of materials and services.
- Maintain accurate records of orders, deliveries, and invoices.
- Monitor and update procurement logs and trackers.
- Assist in sourcing materials and suppliers when required.
- Coordinate with accounts to ensure invoices match purchase orders and delivery notes
- Help maintain compliance with company procurement procedures.
- Support general office administration duties as needed (e.g. answering phones, document filing, data entry)
- Assist with pre-qualification questionnaires and supplier documentation.
- Prepare reports for management on procurement activity and spend.
Office Administrator Essential Criteria:
- Minimum 3 years’ experience in an administrative role within the construction industry.
- Strong knowledge of purchase order processes and supplier coordination.
- Proficient in Microsoft Office (especially Excel, Word, and Outlook).
- Excellent organisational skills and attention to detail.
- Ability to multitask and work to deadlines.
- Strong written and verbal communication skills.
- Self-motivated with a proactive approach.
