Site Administrator / PA


INFORM3 are looking to appoint a Site Administrator / PA, for worked based in Dublin. The successful candidate will work for a Client with many years in the construction industry. The candidate will need to have worked with a Construction company in the past and have experience in working alongside Site Management Teams. The role will involve PA work with the Director.


Site Administrator / PA Responsibilities:

  • Type letters and reports, answer the telephone and take messages.
  • General admin
  • Deal with incoming and outgoing mail.
  • Photocopying and filing.
  • Greet visitors and ensure meeting rooms are set up and refreshments are provided.
  • General accounts and administration duties.
  • Raising and placing of orders.
  • Document control
  • Ensure that all documents are well checked and submitted on time prior to the submission of the documents due date.
  • Ensure that documents do not have typographical errors and other types of errors that may lead to the disqualification of a document.
  • Assure that all documents are kept in the right place and in the right department file archive
  • Ensure that quality is maintained to avoid operational problems
  • Maintain and accurately update information in the electronic document management system.
  • Assist and guide the project team in the utilizing the electronic data management system and document management process.
  • Ensure that all documentation, drawings and specifications are up to date and at the correct revision.
  • Ensure that the document management process is applied through to between project teams or transition to operations.
  • To provide support to the Office Manager in any administrative duties.
  • Overall control of stationery stock
  • Provide assistance to the Engineers, Quantity Surveyors and Health and Safety Officer in terms of paperwork and filing
  • Booking accommodation


Candidate Specification:

  • Educated to O/GSCE Level standard or equivalent including English and Maths
  • Previous secretarial and/ or administrative experience in construction
  • Excellent communication skills including written English. Excellent IT skills including; Word, Excel, PowerPoint, Access, E-Mail and Internet
  • Excellent telephone manner.
  • Ability to use initiative.
  • Discretion and confidentiality.
  • Time Management skills.
  • Driving License
