Works Co-Ordinator/Administration         Belfast

The Company

An award-winning leading NI contractor are working with INFORM3 to find the ideal Works Co-Ordinator to join their team in Belfast. Working across the UK and Ireland this contractor specialises in Utilities, Engineering and Infrastructure whilst focusing on teamwork and intertwining knowledge and skills to produce a successful foundation of expertise. A rewarding role with an attractive benefits package, this role is for an enthusiastic and experienced administrative individual who is keen to set roots down and take on new challenges.

The Role

  • Creation of new contract folders on internal server, and request for same on finance system
  • Creation of Project Job Packs & Job Folders (paper & electronic) & distribution as required
  • Issue daily / weekly whereabouts
  • Collation of daily site paperwork – timesheets / measure sheets / diaries / plant checks / POWRA / Permit to Dig / Task Briefing / HAVS Forms etc.
  • Scanning site paperwork and issuing & saving to relevant parties / locations.
  • Downloading all photos from WhatsApp groups into the relevant company folders.
  • Symology (or equivalent) Noticing
  • Collation of all waste tickets
  • Scanning & Logging of all waste tickets on associated database(s)
  • Collation of all material delivery dockets.
  • Scanning & Logging of all materials received on associated report(s)
  • Collation of all plant hire delivery / collection dockets.
  • Scanning & logging of all plant hire paperwork to Plant.
  • Downloading / obtaining plant reports on weekly basis
  • Logging of the Welfare unit locations and information provided back to hire companies for weekly cleaning.
  • Signing off invoices for the material and plant received on site.
  • Management of induction register & site training requirements.
  • Project Document Control
  • Booking Travel / Accommodation / Car Hire in line with project requirements including management of T&S register and contract cost allocation.

 

Skills and Qualifications

  • Two years’ working experience in administration – preferably in the construction industry.
  • IT proficient – Microsoft packages.
  • Good level of verbal and written communication.
  • A team player.
